Who we are

TrackMyInterio is a web application that helps interior designers and design studios manage their clients, projects, quotations, vendors and payments. In this policy, "we", "us" and "our" mean TrackMyInterio.

Who this policy covers

• Designers and studio owners who create a TrackMyInterio account.
• Team members invited into a studio's workspace.
• Clients of a studio who use the client portal, open a quotation approval link, or send an enquiry through a studio's quotation request form.
• Vendors, suppliers and other people whose details a studio records in its workspace.

If you are a client or vendor of a studio, the studio decides what information about you goes into TrackMyInterio, and we store and process it on the studio's behalf. Questions about why a studio holds your information should go to the studio first, but you can also contact us.

Information we collect

We collect only what is needed to run the service.

• Account details: your name, email address, mobile number and a password. Passwords are stored only as a one-way hash, never in readable form. If you sign in with Google, we receive your Google account ID, email address, name and profile picture.
• Studio details: studio name, GST number, address, phone number, email, website, tagline, brand colour and logo.
• Client and project records you enter: client names, email addresses and phone numbers; project addresses, residence type and size, requirements, notes and status.
• Vendor records you enter: vendor and contact names, phone numbers, email addresses, GST and PAN numbers, business registration numbers, billing and shipping addresses, bank account details and UPI IDs.
• Financial records: payments received and made on each project, quotations, line items, rates and totals, payment schedules, and terms and conditions.
• Team information: the email address and mobile number of people you invite, and the permissions you give them.
• Consent records: which version of the Terms of Service and Privacy Policy you accepted, when you accepted it, and the IP address and browser details at that time.
• Client portal access: a username and hashed password for each client you give portal access to, and the time of their last login.
• Enquiries from the public: when someone fills in a studio's quotation request form we collect their name, mobile number, email address, address, residence type, size and requirements, and we verify their email with a one-time code.
• Quotation approvals: when a client opens an approval link we record when and how many times it was opened, whether they approved or requested changes, and any comment they leave.

We do not collect card or bank details for our own billing today. See "Paid plans and payments" below for what changes when paid plans launch.

How we use information

• To provide the service: showing you your clients, projects, quotations, vendors and payments, and letting your team and clients work with you.
• To keep your account secure: verifying your email, checking your password, and recording your acceptance of our legal documents.
• To send service emails: one-time codes, account approval and welcome messages, team invitations, new enquiry alerts, quotation approval requests and confirmations, and client portal login details.
• To review new accounts: we are notified when a new account is created and approve it before it becomes active.
• To operate and protect the service: keeping backups, fixing problems and preventing misuse.
• To meet legal obligations, such as tax and accounting rules.

We do not sell your information and we do not use it for advertising.

Emails we send

Every account receives service emails. These are needed to run your account and cannot be switched off while you have an account. We do not send marketing emails today. In future we may send product news and offers to account holders, but only with your permission. Every such email will include an unsubscribe link, and opting out will never affect service emails.

Who we share information with

We share information only with the service providers that help us run TrackMyInterio. Each of them may use it only to provide their service to us.

• Google: verifies your identity when you sign in with Google. Google's own privacy policy applies to your Google account.
• Resend: delivers the emails we send.
• Amazon Web Services (Mumbai, India): hosts our servers, stores studio logos and keeps encrypted database backups.
• Supabase: hosts our database in India.
• Cloudflare: provides DNS and secure connections to our servers.
• YouTube: our public website embeds a demo video. YouTube sets its own cookies only if you play it.

We may also disclose information when the law requires it, or to protect the rights and safety of our users, the public or TrackMyInterio. If TrackMyInterio is ever sold or merged, your information may be transferred to the new owner under this same policy.

Paid plans and payments

TrackMyInterio currently offers a free trial, and subscriptions are activated manually. When paid plans launch, payments will be processed by Razorpay. Your card, bank or UPI details will be entered on Razorpay's secure payment page and will never be stored by TrackMyInterio. We will keep only the transaction reference, amount, date and the plan you paid for.

Your clients' and vendors' information

When you enter details about your clients, vendors or team members, you confirm that you have the right to share them with us for the purpose of running your business. You are responsible for keeping that information accurate and for responding to requests from those people about it. We act on your instructions and will help you meet those requests where we can.

Cookies and local storage

TrackMyInterio does not use cookies, analytics or tracking tools. When you sign in, your browser keeps a login token and your currently selected studio in local storage so you stay signed in. Signing out removes them. The Google sign-in option loads a script from Google, and Google may set its own cookies. The demo video on our public website is provided by YouTube, which may set cookies if you play it.

Where your information is stored

Your information is stored on servers located in India. Some service providers, such as Google and Resend, process limited information (your identity check, the emails we send) on their own infrastructure, which may be outside India. We do not otherwise transfer your information outside India.

How we protect information

• All connections to TrackMyInterio use HTTPS.
• Passwords and one-time codes are stored as one-way hashes.
• Server disks and backups are encrypted.
• Access to production data is limited to the people who operate the service.
• Each studio's data is kept separate. Team members can only see the studio they belong to, and clients can only see their own projects.

No system is perfectly secure. If we discover a breach affecting your information, we will inform you and the relevant authorities as the law requires.

How long we keep information

• Account and studio data: for as long as your account exists.
• Records you delete in the app (clients, projects, vendors, payments, notes, quotations): removed from your view immediately, retained in our systems so they can be recovered if deleted by mistake, and permanently erased when your account is deleted.
• One-time codes: expire within minutes and cannot be reused.
• Consent records: for as long as your account exists, so we can show that you accepted our terms.
• Backups: deleted automatically 30 days after they are made.
• Enquiries sent to a studio through its quotation request form: kept as a lead in that studio's workspace until the studio deletes it or the studio's account is deleted.

When you ask us to delete your account, we delete it within 30 days. If you own a studio and no other owner keeps it, we also delete the studio and all client, vendor, project and financial records in it. Deleted data disappears from backups within a further 30 days. We may keep records we are legally required to retain, such as payment invoices.

Your rights

You can:

• See and update your account details from the profile page in the app.
• Ask us for a copy of the information we hold about you.
• Ask us to correct information that is wrong.
• Ask us to delete your account and information.
• Withdraw your consent by asking us to delete your account. You can also stop using the service at any time.
• Nominate someone to exercise these rights for you if you are unable to, as allowed under Indian law.

To make a request, email support@trackmyinterio.in from the email address on your account. We will acknowledge your request within 7 days and complete it within 30 days. If you are a client or vendor of a studio, we may need to confirm your request with that studio.

Grievances

If you are unhappy with how we handle your information, contact us at support@trackmyinterio.in. We will acknowledge your complaint within 7 days and respond within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

Children

TrackMyInterio is a business tool for adults. You must be at least 18 years old to create an account. We do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

We may update this policy as the service grows. Each version has a version number and date at the top of this page. If we make a material change, we will ask you to review and accept the new version the next time you sign in, and we keep a record of the versions you have accepted. Minor changes that do not affect how we use your information may be made without asking again.
